Two Things to Consider When Looking at Tent Rentals

Tent Rentals can completely change the way a party or wedding feels to your guests. They provide shelter from the hot sun, or worst case scenario the rain, and can be an affordable option to host in comparison to renting a building or room out for the day. Here are two very important things to consider when looking at tent rentals for hosting your outdoor event:


You want each of your guest to sit comfortably and not be too close to each other when attending your event. The most important thing to think about when planning seating or spacing is to base it off the number of people attending. Once you’ve estimated your guest count, you can figure out the number of square feet that you will need in your tent. Take your number of guests times: 15 square feet for seating at tables; 6 square feet for standing area or cocktail area; 8 square feet for a wedding ceremony or guests seated at only chairs; an additional 2 – 3 square feet for a dance area if you’re hosting a wedding or casual event; and 25 square feet for the head table.

If you’re hosting a speech or another type of event that where your chairs are going to be lined up in rows, it’s a good idea to allow 5 or 6 sq. ft. per chair. Be sure to keep in mind, though, that if you’re using particularly bulky chairs or have guests that require more space to maneuver, you’re going to need more space.

If you’re planning to serve a meal, the amount of room you’ll need will largely depend on the dimensions of the tables you choose as well as the number of people that will be seated at each one. Try to allow at least 12 sq. ft. per person when using round tables and 10 sq. ft. per person when using rectangular ones.

Time of Year

According to the Knot’s 2014 Real Weddings Study, the most popular month to get married was June (15%) followed by October (14%). If you are looking at an outdoor venue, you should start looking at tent rentals at least six months in advance to secure your wedding tent.

The same goes for looking for a corporate party tent to a backyard party tent. It’s important to make sure that your guests feel comfortable in the weather and in the space you’ve provided for them. So make sure you have the amenities like space heaters and fans if the situation calls for it.
